January 2010 meeting

Hello, Folks!  Our next club meeting will be Saturday January 30, 2010 at 9:00 a.m. at Starbucks.  We will be discussing our plans for the upcoming year.  Topics will include, but not be limited to:

1) charity/fundraisers (Tour de Cure, MS 150, and helmet/bike drive),

2) website modifications,

3) an SCC/Epic sponsored trail run in October at Atlanta Beach to benefit the helmet drive,

4) whether to elect new officers for the year or keep the ones who were appointed in October.

Please post ideas that you would like to see addressed, but are not mentioned above.  We've got big plans for the upcoming year!  Let's make 2010 the best year ever!!

SCC MEMBERSHIP MEETING AGENDA – JAN 30, 2010

1) Charity/fundraisers

    A) Tour de Cure

 May 16; Ann Crail is team leader; info on the SCC forum under Rides; make sure to join SCC team when signing up

  B)  MS 150

 September 11-12; Michael Cox is team leader; info on the SCC forum under Rides; make sure to join SCC team when signing up; Michael is investigating cost of a cabin for the team vs individual hotel rooms that get booked early; recommended you book room very soon if interested; more info on the link in the SCC forum posting

   C) Helmet/bike drive

This is the main fall/pre-holiday fundraiser for SCC. We plan to raise more funds and provide more helmets than in 2009. Also, we will combine this with collecting old bikes, fixing them up and donating via DFACs.

Lori Stigers is leader for helmet donation; Kristi Rowell is leader for bike donation (she and Ben Lovelace started this effort!!)

           a. Trail run at Atlanta Beach in October to support the helmet drive

 Plans are under way for us to host this on October 31. Lots of work needs to be done. Check shop and SCC forum for info on needs and PLEASE see if you can volunteer time, help get needed goods, etc.

Lori and Mike Stigers are leading this effort.


      b. $250 fee from Tim for race to become part of Run and See Georgia Series

 Tim and Epic are donating the entry fee for this race series. Thanks!!! Will help us get tremendous visibility for the Trail run in October.

     D) EPIC will ask customers for donations at the time of sales

Customers will be able to donate to SCC charity causes.

 2) Website – www.southerncrescentcycling.com

    A) Modifications

    B) Issues/Questions

          a) who pays?

          b) who is the liaison between club and web designers?

          c) who monitors what goes on it?

          d) advertising?

 There was a lot of discussion about the website. In short, this has been paid for and managed by EPIC in the past and seems appropriate to the SCC officers and everyone at the meeting, that we now make the website self sufficient as SCC. As a result, payment for hosting the site will come from membership dues.

Lori Stigers negotiated with the designers to make the desired modifications for free (see the SCC forum for list of modifications).

Ben Lovelace volunteered to be the administrator for the site and main liaison with the designers. Any issues with the site can be forwarded to Ben or listed in the SCC forum under “Website Issues”

 3) Elect new officers for the year or keep ones who were appointed in October

Everyone in attendance at the meeting agreed that current officers should continue to serve. That list is:

President: Michael Cox

Team Director: Mike Stigers

Team Captain: Benjamin Bryant

Team Coordinator: Lori Stigers

Treasurer: Ann Crail

Secretary/Promotion Coordinator: Steve Church

Sponsorship Director: Charlotte McCluskey

 

4) Ride to the Capital, 3/23

Mike Stigers encouraged everyone to participate in this ride as a critical way to promote bike/car safety in our region.

Mike is the leader on this. He and Michael Cox will work to get more local mayors/politicians involved. Steve Church will draft a letter for their use to solicit that involvement.

 

5) Club member participation to include helping with gold sprints both in the shop and at events

We need more of our 300+ members to volunteer just a LITTLE BIT of time to help with all of our efforts. For example, it would be great if members could help volunteer with the GoldSprints on late Friday nights (they run until 9 pm). Anyone interested should contact Tim or Mike.

Please continue to watch the SCC forum for chances and opportunities to volunteer even an hour or two.

 

6) Ann’s duties as Treasurer

Ann Crail mentioned that as Treasurer she has not had a lot of work to do. To help get the treasurer more involved in SCC finances, we must change the current bank account to allow the treasurer to have access. Mike Stigers and Ann will change the account and set it up to allow checks, etc., to be approved by the treasurer and perhaps one or two others (in case treasurer is traveling when checks are needed).

7) New Running Club – Southern Flyers

In order to host runs, it is necessary to have a separate entity or “sub entity” from SCC. It was suggested that “Southern Flyers” (based on the old railroad that ran through town) be used.

8) Dauset clean-up weekend 2/26, 2/27, 2/28

Everyone was encouraged to come out for this weekend to fix the trails OR any part of the weekend. Check the SCC forum for more information. Donations of food, goods, etc., are also needed.

PLEASE RSVP on the forum if you plan to attend to help with estimates of food, etc., needed.

Brett Broughton and Lori Stigers are leading this effort. Contact them for more info.

10) Club / Race Team sponsorship update

Mike Stigers discussed that sponsorship has been very difficult. At this point, we only have one major sponsor, Sigvaris, and need about $4,000 in additional sponsorship before we can design and order team kits.

DEADLINE is end of February to get sponsors and produce kits in time for season.

Anyone who has suggestions or possibilities for sponsors should contact Mike or Charlotte McCluskey. A sponsorship packet is available to help explain all about the club and team.

 11) Other Business?

Let's talk about getting as many of our cyclists to ride to the Capitol.

I agree with Lori. This is the best way to promote safety.

I would also like to add to the meeting

- advertising on website

- who pays for and controls website and what direction does the club want it to go

-removing old post from website

- liason between website designer and website/club ( this person would have administrator pass words and such- our immediate go to person) ( they would also police the website)

-club participation

-club helping with gold sprints both in the shop and at events

-250.00 for fee for becoming part of Run and See Georgia Series

-Ann as Treasure needs to be a signature on account ( checks and balances with regaurds to funds)

Ann I would like to add fundrasing alternatives or MS150 and Tour de Cure to the agenda as well as who will take over the liason for the website to manage.. I have a couple of nominees.. but still want to put it out there. We also need to look into schooling on gold sprints so that we can alternate club members to oversee the goldsprints till 8:00 only, Tim has suggested that he will handle it past 8 if needed. And, we need to talk about the running club and where we are at on the run.. I should be talking with Stubbs next week with Brett and Mike and should have a concrete date. But we need to talk about the $$ to get to be apart of the series and delegate the different areas to be more effecient. Thanks.. sorry to ramble.
